Purpose: The Africa Tourism Fair Influencer Program aims to promote the event, raise awareness, increase participant numbers, and highlight the event.

  1. Objectives and KPIs (Key Performance Indicators)

  • Objectives:
    • Increase booth sales and online registrations.
    • Boost social media engagement and event-related shares.
  • KPIs:
    • YouTube: Video views, audience retention rates, click-through rates, conversions from affiliate links.
    • Instagram: Post engagements (likes, comments, shares, saves), story views, reach; website traffic from bio or story links.

    • Content Types:
      • Document the event experience with at least 2 vlogs: overall event experience, tours and parties post-event.
    • Key Elements:
      • Include event logos, visuals, and calls-to-action (CTAs) for ticket sales (website/social media direction).
      • Use hashtags: #AfricaTourismFair #ATF25Egypt
      • Secondary hashtags: #Tourism #Travel #Africa
  • Instagram Influencers:
    • Content Types:
      • Reels: At least 3 engaging videos:
        1. B2B meetings and participant stands.
        2. Event entertainment (parties and tours).
        3. General event recap.
      • Stories: Geotags (Sharm El Sheikh, Egypt, event venue: Rixos Radamis Sharm El Sheikh), event-specific hashtags (#AfricaTourismFair #ATF25Egypt), polls, and question stickers for real-time updates (preferred).
      • Posts/Carousel: High-quality visuals of key moments with detailed captions (optional).

  • Pre-Event (Minimum 4 weeks before the event):
    • Announce your participation with countdown stories and posts. Direct followers to Africa Tourism Fair’s social media for wider reach.
  • During Event:
    • Share at least 5 stories daily with live updates, including general event shots, panel speakers, standout booths, visitors, and key moments.
  • Post-Event (1-2 weeks after the event):
    • Share event recaps and thank you messages to the organizers (ATFEgypt) and sponsors (Rixos Hotels Egypt).
    • Share feedback and thoughts about the event.
  1. Monitoring and Analytics
  • YouTube Analytics:
    • Use YouTube Studio to track:
      • Video views, likes, and comments.
      • Clicks and conversions from affiliate links.
      • Audience retention rates.
    • Important Note: We kindly ask influencers to prepare a brief report of results and share it with us for review once completed.
  • Instagram Analytics:
    • Use Instagram Insights to track:
      • Post, story, and Reels reach and impressions.
      • Click-through rates for links or “Swipe-up” links.
      • Engagement rates (likes, comments, shares, saves).
    • Important Note: Influencers are requested to send a brief report of results after the campaign for review.

    Africa Tourism Fair 22-23 Mayıs 2025 Influencer Program TERMS AND CONDITIONS Africa Tourism Fair (ATF25Egypt) Influencer Program Terms and Conditions 1. DEFINITIONS 1.1 "Event" refers to the Africa Tourism Fair (ATF), also referred to as "ATF25Egypt," scheduled to take place on 22-23 May 2025 in Sharm El Sheikh, Egypt. 1.2 "Organizer" refers to GMT Fuarcılık, headquartered at Çağlayan Mah. 2039/1 Sk. Bal Plaza Kat: 5 No: 11, Muratpaşa / Antalya / Turkey. 1.3 "Influencer" refers to an individual or entity accepted into the ATF25Egypt Influencer Program to create and share promotional content for the Event. 1.4 "Program" refers to the ATF25Egypt Influencer Program designed to create awareness, attract attendees, and promote the Event through social media platforms. 1.5 "Benefits" refers to the advantages offered to Influencers as part of their participation in the Program, as outlined in Section 6. 1.6 "Content" refers to promotional material created by Influencers in line with the Program’s guidelines. 1.7 "KPIs" refers to Key Performance Indicators such as views, engagement rates, and conversions used to measure the success of promotional efforts. 2. APPLICATION PROCESS 2.1 All applicants must submit a completed application form via the official ATF25Egypt Influencer Program portal. 2.2 Submission of the application does not guarantee acceptance into the Program. GMT Fuarcılık reserves the right to accept or reject applications at its sole discretion. 2.3 Influencers must meet the following eligibility criteria: • A proven track record of creating high-quality content with significant engagement rates. • A minimum of 10,000 followers on Instagram or YouTube. • Relevant audience demographics that align with the Event’s target market. 2.4 Applicants will be notified of their selection via email. Upon acceptance, influencers must sign an agreement acknowledging these Terms and Conditions. 3. REGISTRATION AND OBLIGATIONS 3.1 Accepted Influencers must: • Confirm their participation within seven (7) days of notification. • Agree to create and share Content as outlined in Section 4. • Submit pre-event promotional posts at least four (4) weeks before the Event. 3.2 Influencers must provide analytics reports, including reach, engagement, and conversions, within fourteen (14) days post-event. 3.3 Influencers must use the official hashtags (#AfricaTourismFair #ATF25Egypt) logos and calls to action (CTA) provided by the Organiser in all promotional materials. 4. CONTENT CREATION GUIDELINES 4.1 Influencers are required to produce the following: Instagram: • Three (3) reels highlighting various aspects of the Event (e.g., exhibitor booths, entertainment, and overall experience). • A minimum of five (5) real-time stories per event day featuring updates, geotags (location), and polls. • Two (2) carousel posts summarizing their experience with detailed captions. YouTube: • Two (2) vlogs; detailed images from the ATF25Egypt, parties and excursions that will take place during and after the event. • The description of the videos should include the event website and social media accounts. 4.2 All Content must: • Adhere to the Event’s brand guidelines. • Avoid offensive, discriminatory, or controversial material. • Include accurate information and clear CTAs for Event participation. 5. BENEFITS 5.1 Selected Influencers will receive: • Round-trip flights to and from Sharm El Sheikh, Egypt. • Three (3) nights of complimentary accommodation at a 5-star Rixos Hotel. • Exclusive access to Event parties, tours, and networking opportunities. • Personalized support from the Organizer’s team during the Event. 5.2 Benefits do not include: • Personal expenses (e.g., meals outside the Event, minibar charges, or room upgrades). • Travel/health insurance, which is the sole responsibility of the Influencer. • Visa application fees or related expenses. 6. CANCELLATION AND NO-SHOW POLICIES 6.1 Influencers must notify the Organizer in writing of any cancellations at least thirty (30) days prior to the Event. 6.2 Late cancellations or no-shows without a valid reason (e.g., medical emergencies with documentation) may result in: • Cancellation of benefits and reimbursement of travel expenses to the organizer. • Disqualification from future GMT Fuarcılık programs. 6.3 The Organizer reserves the right to replace any Influencer who cancels or fails to meet their obligations. 7. LIABILITY AND EXCLUSIONS 7.1 The Organizer shall not be liable for: • Injuries, illnesses, or damages incurred by the Influencer during travel or the Event. • Delays, cancellations, or changes to travel arrangements due to unforeseen circumstances. • Loss of personal belongings or equipment. 7.2 Influencers are advised to secure adequate health insurance. 8. USE OF PERSONAL DATA 8.1 By participating in the Program, Influencers consent to the collection and use of their personal data for Program-related purposes, including: • Communication about the Event. • Sharing information with airlines, hotels, and Event partners. • Promotional activities. 8.2 The Organizer will handle all personal data in compliance with applicable privacy laws. 9. GENERAL 9.1 These Terms and Conditions are governed by the laws of England and Wales. 9.2 Participation in the Program constitutes acceptance of these Terms and Conditions. 9.3 The Organizer reserves the right to amend these Terms and Conditions at any time. Influencers will be notified of any significant changes. 10. PROGRAM TIMELINE 10.1 Pre-Event Phase (4-6 weeks before the Event): • Influencers must create and share teaser posts, countdown stories, and event-related promotional content. 10.2 Event Phase (Live Coverage): • Daily real-time updates via stories, posts, or reels must be shared, highlighting key moments and activities. 10.3 Post-Event Phase (1-2 weeks after the Event): • Influencers should share a recap of the event, testimonials about the event and thank you notes. The event name (Africa Tourism Fair) and the main sponsor (Rixos Hotels Egypt) should be labelled or mentioned as a contributor. 11. MONITORING AND ANALYTICS 11.1 Influencers must use analytics tools such as Instagram Insights and YouTube Studio to track: • Engagement metrics (likes, shares, comments). • Audience reach and impressions. • Click-through and conversion rates. 11.2 A summary report of analytics must be submitted to the Organizer within two (2) weeks post-event. 12. TRAVEL AND ACCOMMODATION 12.1 Flights: • The Organizer will book round-trip flights for Influencers based on the agreed-upon itinerary. • Changes to flight bookings are the responsibility of the Influencer and may incur additional costs. 12.2 Accommodation: • Influencers will receive three (3) nights of complimentary accommodation at a 5-star Rixos Hotel. • Additional nights or upgrades are at the Influencer’s expense. 13. TRANSFERS 13.1 Shuttle services between the hotel and the Event venue will be provided. 13.2 Influencers must adhere to the transfer schedule and notify the Organizer in case of delays or missed pickups. 14. MEDICAL 14.1 Influencers are advised to have adequate health insurance covering travel and participation in the Event. 14.2 The Organizer shall not be held responsible for any medical emergencies during the Event. 15. VISAS 15.1 Influencers are responsible for obtaining the necessary visas to enter Egypt. 15.2 The Organizer may provide invitation letters upon request but does not guarantee visa approval. 16. CODE OF CONDUCT 16.1 Influencers must maintain professionalism and respect for all Event participants. 16.2 The Organizer reserves the right to terminate participation for inappropriate behavior. 17. INTELLECTUAL PROPERTY 17.1 All Content created for the Program remains the property of the Influencer but grants the Organizer perpetual rights to use such Content for promotional purposes. 18. DISPUTES 18.1 Any disputes arising from these Terms and Conditions shall be subject to the jurisdiction of the courts of the Republic of Turkey in Antalya.
