AFRICA TOURISM FAIR – ATF25 EGYPT 2025

HOSTED BUYER PARTICIPATION REQUIREMENTS

1. Definitions
• ATF25Egypt Hosted Buyer Team: GMT Fuarcılık team managing buyer participation.
• Event/Fair: Africa Tourism Fair (ATF25 Egypt), held in Sharm El Sheikh.
• Exhibitor: Travel and tourism supplier with a confirmed stand at the fair.
• Hosted Buyer: A selected tourism professional with purchasing authority approved by the ATF team.
• Program: A curated participation program offering benefits in return for fulfilling specific meeting and attendance commitments.

2. Application and Registration
• Online application must be completed in full.
• Selection is based on professional profile and evaluation by the ATF team.
• Accepted buyers must pay a €200 + VAT non-refundable registration fee.
• Only one application per company is generally accepted.

3. Terms of Participation
• Applicants must be senior-level professionals with authority to negotiate and purchase travel services.
• Attendance at all 3 days of the event is required.
• Participation includes a minimum of 16 pre-scheduled B2B meetings (8 per day).
• Full completion of ATF World platform profile, surveys, and appointment ratings is mandatory.
• Hosted Buyers must be responsive and available by email/phone/WhatsApp during the event.

4. Program Benefits
• 3 nights’ accommodation (Sept 12–15, 2025) at partner hotel (Rixos Hotels Egypt).
• Daily round-trip transfers between hotel and venue.
• Early access and personalized support via ATF WORLD meeting platform.
• Inclusion in Hosted Buyer Directory.
• Access to the Buyers’ Lounge (with refreshments and Wi-Fi).
• Invitation to the ATF25Egypt Party and exclusive networking functions.
• Complimentary 1-year subscription to GM e-magazine with one free brief news update.

5. Exclusions
• The following are not included:
o Flights and airline tickets
o Visa expenses
o Travel/health insurance
o Personal expenses, minibar, hotel extras
o Accommodation upgrades or extra nights
o Transfers not included in the official program

6. Travel and Accommodation
• Buyers must arrive September 12 and depart after 15:00 on September 14.
• Accommodation is at a designated partner hotel; requests for hotel changes cannot be accepted.
• Additional nights or upgrades are the buyer’s responsibility.
• Transfers will operate on a fixed schedule; missed transfers are at the buyer’s expense.

7. Visa and Insurance
• Hosted Buyers are responsible for obtaining necessary visas and insurance.
• ATF provides confirmation letters for visa applications (upon request).
• No visa assistance or processing services are offered.

8. Cancellation and Changes
• Free cancellation allowed until Augost 20, 2025.
• After that, cancellation incurs a €500 + VAT fee.
• No-show or non-compliance with commitments: €1,000 + VAT penalty.
• Substitutions may be accepted with approval by the ATF25Egypt team.
• Medical emergencies must be supported with valid documentation for refund consideration.

9. General Provisions
• ATF25 Egypt is organized by GMT Fuarcılık.
• Breach of rules or failure to fulfill commitments results in removal from the program and billing for used services.
• Hosted Buyers must behave professionally and respectfully at all times.
• Use of the ATF WORLD platform for personal or promotional content unrelated to business meetings is strictly prohibited.

10. Personal Data Protection
• Personal data collected is used strictly for Hosted Buyer Program purposes: registration, accommodation, communication, and reporting.
• Data is protected under GDPR and KVKK (Turkey’s Personal Data Protection Law No. 6698) and shared only with authorized parties as necessary.
